Refund Policy

Clear, transparent rules regarding tournament registration fees, payment errors, cancellations, and dispute resolutions.

Last Updated: June 16, 2026

This Refund Policy is issued by ChampZero Entertainment Production, operating under the platform and brand name ChampZero and the website www.champzero.org. For purposes of this Refund Policy, “ChampZero,” “we,” “us,” and “our” refer to ChampZero Entertainment Production, including its official platform, tournament operations, authorized representatives, and approved payment channels.

This Refund Policy explains how refunds are handled for tournaments, events, and related services made available through ChampZero.

By registering for a tournament, joining an event, submitting payment, or using ChampZero’s tournament-related services, you acknowledge and agree to this Refund Policy, the applicable tournament rules, and any additional refund terms disclosed on the specific tournament page before payment.

1. Scope of This Refund Policy

This Refund Policy applies to:

  1. Tournament registration fees collected by ChampZero for tournaments directly organized, hosted, operated, or officially managed by ChampZero;
  2. Event participation fees collected by ChampZero through its official payment gateway or approved payment channels;
  3. Duplicate, mistaken, erroneous, or failed transactions involving ChampZero-hosted tournaments; and
  4. Refund requests related to payments actually received by ChampZero through its official payment channels.

This Refund Policy does not automatically apply to tournaments organized by third-party or external organizers, unless ChampZero is expressly identified as the official organizer and payment collector for that specific tournament.

Nothing in this Refund Policy shall be interpreted as limiting any rights or remedies that may be available to participants under applicable laws and regulations.

2. Tournament Categories

For refund purposes, tournaments on ChampZero are generally classified into two categories:

A. ChampZero-Hosted Tournaments

A “ChampZero-hosted tournament” refers to a tournament that is directly organized, operated, managed, or officially hosted by ChampZero.

For ChampZero-hosted tournaments, ChampZero may collect registration fees through its official payment gateway or approved payment channels. ChampZero shall be responsible for handling eligible refund requests in accordance with this Refund Policy and the specific rules of the tournament.

B. Externally Organized Tournaments

An “externally organized tournament” refers to a tournament created, managed, operated, or administered by a third-party organizer using ChampZero’s platform, tools, listings, or community features.

For externally organized tournaments, ChampZero does not collect, hold, settle, safeguard, remit, or disburse participant payments through ChampZero’s payment gateway unless expressly stated otherwise in writing. Payment collection, payment verification, refund decisions, refund timelines, participant support, and payment-related dispute handling are the responsibility of the external tournament organizer.

External organizers are required to disclose their own refund policy, payment instructions, support contact information, and organizer identity before accepting participant payments.

3. Refunds for ChampZero-Hosted Tournaments

For ChampZero-hosted tournaments, refunds may be granted under the following circumstances:

A. Tournament Cancellation by ChampZero

If ChampZero cancels a paid tournament before it begins, ChampZero will process refunds for eligible paid participants, unless the specific tournament page clearly disclosed different refund terms before payment and such terms are allowed under applicable law.

Where possible, refunds will be issued to the original payment method used during registration.

B. Duplicate or Erroneous Payment

If a participant is charged more than once for the same tournament registration, or if an incorrect amount is charged due to a verified payment, gateway, or system error, ChampZero will review the transaction and refund the duplicate or excess amount once verified.

C. Failed Registration After Successful Payment

If a participant successfully pays for a ChampZero-hosted tournament but the registration is not completed due to a verified system error, ChampZero may either:

  1. Confirm the participant’s registration manually; or
  2. Issue a refund if registration cannot be completed.

D. Tournament Rescheduling

If ChampZero reschedules a paid tournament, the participant’s registration will generally remain valid for the new tournament date.

If a participant is unable to attend the rescheduled date, ChampZero may provide a refund, credit, transfer, or alternative arrangement depending on the tournament rules, timing of the request, operational circumstances, and applicable law.

E. Other Approved Cases

ChampZero may approve refunds on a case-by-case basis where fairness, operational circumstances, verified platform issues, or applicable law require a refund.

4. Non-Refundable Situations for ChampZero-Hosted Tournaments

Unless otherwise stated in the specific tournament rules or required by applicable law, refunds may not be granted in the following situations:

  1. The participant, player, or team voluntarily withdraws after registration has been confirmed;
  2. The participant, player, or team fails to appear, check in, or participate at the scheduled time;
  3. The participant, player, or team is disqualified due to rule violations, cheating, fraud, abuse, account sharing, use of prohibited software, toxic behavior, unsportsmanlike conduct, or any act that compromises competitive integrity;
  4. The participant provides incorrect, incomplete, false, or misleading registration information;
  5. The participant becomes ineligible due to age, region, platform, rank, roster, account, or eligibility requirements disclosed before registration;
  6. The participant fails to follow tournament instructions, deadlines, match schedules, check-in procedures, or official announcements;
  7. The tournament page clearly states that the registration fee is non-refundable, subject to applicable law; or
  8. The refund request is submitted after the refund request period stated in the tournament rules.

A tournament may have stricter or more specific refund terms if those terms are clearly disclosed on the tournament page, registration form, or official tournament rules before payment.

5. Special Non-Refundable Tournaments

Some ChampZero-hosted tournaments may be marked as “non-refundable” or may include a specific no-refund rule.

If a tournament is marked as non-refundable, this will be disclosed before payment on the tournament page, registration form, or official tournament rules.

However, a non-refundable rule shall not limit any refund, remedy, or consumer right that may be required under applicable law. ChampZero may still issue refunds in cases involving tournament cancellation, duplicate payment, erroneous payment, verified system error, or other circumstances where a refund is legally or operationally required.

6. Refunds for Externally Organized Tournaments

For externally organized tournaments, the external tournament organizer is responsible for:

  1. Collecting tournament fees;
  2. Verifying payment proof, if manual payment verification is used;
  3. Disclosing the tournament’s refund policy;
  4. Processing approved refunds;
  5. Handling participant payment disputes; and
  6. Providing support for payment-related concerns.

ChampZero does not hold participant funds for externally organized tournaments and does not act as an escrow provider, payment custodian, trustee, fund holder, payout intermediary, or financial intermediary for those tournaments unless expressly stated otherwise in writing.

If a participant pays an external organizer directly, the participant must contact that organizer for refund requests. ChampZero may, at its discretion, assist by providing available platform records or communication support, but ChampZero is not responsible for refunding amounts that were not collected or received by ChampZero.

7. Manual Payment Verification for External Tournaments

Some externally organized tournaments may use manual payment verification. In such cases, participants may be asked to upload proof of payment for organizer review.

Manual verification on ChampZero is intended only to help external organizers confirm whether a participant submitted payment proof. It does not mean that ChampZero received, controlled, held, guaranteed, or safeguarded the funds.

External organizers remain fully responsible for confirming actual receipt of payment, resolving payment issues, and processing refunds under their own refund policy.

8. How to Request a Refund

For ChampZero-hosted tournaments, refund requests may be submitted through ChampZero’s official tournament support channels.

A refund request should include the following information:

  1. Full name of the participant or team representative;
  2. ChampZero account email address;
  3. Tournament name;
  4. Team name, if applicable;
  5. Payment reference number, transaction ID, or receipt;
  6. Date and amount of payment;
  7. Reason for the refund request; and
  8. Any supporting screenshots, documents, or proof of transaction.

ChampZero may request additional information to verify the transaction, confirm the participant’s identity, and determine refund eligibility.

Refund requests for externally organized tournaments must be directed to the external tournament organizer, unless ChampZero is expressly identified as the official payment collector for that tournament.

9. Refund Processing Time

Approved refunds will be processed as soon as reasonably possible after verification.

Refund timelines may vary depending on the payment method, payment gateway, bank, e-wallet provider, card issuer, or other payment service provider involved. After ChampZero initiates a refund, the time it takes for the refunded amount to appear in the participant’s account may be outside ChampZero’s control.

ChampZero shall not be liable for delays caused by banks, payment gateways, card networks, e-wallet providers, or other third-party payment processors.

10. Payment Gateway, Bank, or Processing Fees

Where allowed by applicable law and disclosed before payment, certain payment gateway fees, bank charges, convenience fees, service fees, or processing fees may be non-refundable.

If a full refund is required due to ChampZero’s cancellation, duplicate charge, verified payment error, or other legally required reason, ChampZero will make reasonable efforts to refund the eligible amount in accordance with the applicable payment provider’s rules and procedures.

11. Chargebacks and Payment Disputes

Participants are encouraged to contact ChampZero first before filing a chargeback, reversal request, or payment dispute for ChampZero-hosted tournaments.

If a chargeback, reversal, or payment dispute is filed, ChampZero may temporarily suspend the related registration, account privileges, prize eligibility, tournament participation, or other platform access while the issue is being reviewed.

Fraudulent, abusive, duplicate, or bad-faith payment disputes may result in account restrictions, disqualification, denial of future tournament participation, or other appropriate action under ChampZero’s platform rules.

12. Tournament-Specific Rules

Each tournament may have its own refund deadline, refund conditions, withdrawal rules, substitution rules, roster lock rules, cancellation terms, and dispute procedures.

If there is a conflict between this general Refund Policy and the specific refund terms disclosed on a tournament page, the tournament-specific terms shall apply, provided that those terms were clearly disclosed before payment and are allowed under applicable law.

13. Changes to This Refund Policy

ChampZero may update, amend, or revise this Refund Policy from time to time to reflect changes in platform operations, payment methods, payment gateway requirements, legal requirements, tournament procedures, or business practices.

The updated version will be posted on ChampZero’s website with a revised “Last Updated” date. For paid tournament registrations, the refund terms disclosed at the time of payment will generally apply unless a change is required by law or is more favorable to the participant.
